I have reviewed and understand the Procedures and Regulations outlined below, regarding exhibiting at the IT’S TIME TEXAS Summit.*Yes, I've reviewed and understand the Procedures and RegulationsPROCEDURES 1. Exhibitor application will be reviewed and assigned a table on a first come, first serve basis. 2. Once the application has been received, the exhibitor will be sent a confirmation letter and provided further information on exhibiting including shipping, signage, schedule, exhibit space layout, as well as, other general conference information. REGULATIONS Audio Visual: Exhibitors may order needed A/V equipment or services, such as electrical connectivity, internet, DVD player, etc., at their expense. Confirmation letters will include A/V contact information for ordering additional equipment or services. Exhibitor Booths: Exhibitor tables will be set-up prior to arrival based on how many tables were requested and paid for. Due to limited space, any additional personal tables brought by exhibitors will not be allowed. Venue Property: In respect to the venue and its property, exhibitor information, displays, products or any other exhibitor material may not be hung, taped, nailed, stapled or in any other way posted onto the venue’s walls or pillars. Security: Exhibitors are responsible for covering and securing their tables each day. Security will be provided at all times exhibit area is closed. IT’S TIME TEXAS is not liable for any losses, damages, or claims. Waiting List: If accepted as an exhibitor and for any unforeseen circumstances are unable to attend, please notify IT’S TIME TEXAS as soon as possible. A waiting list will be kept and we would like to offer a waiting exhibitor the opportunity to exhibit at the conference. Set-up and Breakdown: Set-up must be completed by the official start of the exhibit hours each morning, and breakdown must be completed by 6:00pm, Tuesday, June 16th. Signage: Table identification and display signs are the responsibility of the individual exhibitor. Payment: All space must be paid for in full on or before April 15, 2015. If assigned space is not paid for in full by the specified date, it may be reassigned to another exhibitor at the discretion of IT’S TIME TEXAS. Hold Harmless Clause: The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of injury or damage to exhibitor’s displays, equipment and other property brought upon the premises of the venue and shall indemnify and hold harmless the organization, venue, agents, servants and employees from any and all such losses, damages, and claims. In addition, the exhibitor acknowledges that it is the sole responsibility of the exhibitor to obtain business interruption and property damage insurance covering such losses by the exhibitor. Cancellation Policy: Cancellations made in writing before April 15, 2015 will receive a 50% refund. No refunds will be issued for cancellations received after that date.
